Last week's project was the transcription of a delayed birth certificate for Henry Walter Johnson. What I transcribed was a copy of the document that was provided by the county a family member some time ago, possibly the exact one that was issued to Henry directly. It contains a number of details regarding his birth and it was issued by Kingsbury, SD. To learn more about Henry's birth certificate click here.
Today we'll look at another delayed birth certificate I have. It is a copy of Olena Marie Haner's (1903-1996) certificate that I requested in February, 2001 from Roberts County, SD. It is different enough from Henry's that I wanted to share it with you. Olena was my father's mother, my paternal grandmother.
This is a form that was printed onto a blank paper template, like letterhead, from a computer database. It was generated upon receipt of my request. For the entries added to the blank form, I have used bold, italicized font, and colored it blue for clarity.
Note the incorrect birth date of August 1, 1903. Olena's actual birth date was August 21, 1903. Somehow this document was created with the wrong date. Olena's birth record made out by the church when her baptism occurred correctly stated her birthdate as August 21, 1903. You can review that document by clicking here. I can remember attending celebrations, sending birthday cards, etc. while Olena was still living and those events were for her birthday on August 21. I don't know why she didn't have the date corrected.

As I was working on this project it came to mind that I had seen a different version of Olena's certificate that included her mother's signature. But where was it? Am I remembering it correctly and if so, why do I have two versions?
Going deeper into my papers, I indeed found another version of Olena's certificate. Lloyd, her son had given me a copy of her certificate he had, which is likely what the state issued to Olena in 1942 when she requested that a birth certificate be created for her. Indeed, it does contain her mother's signature. I think I received this copy in 2008. What Lloyd gave me is a negative image, black with white letters. I inverted it for you to have a better image to review.
This is a fill-in-the-blanks form. For the added entries I have used bold, italicized font, and colored it blue for clarity. My comments are surrounded by square-brackets [ ].

It is apparent that Olena requested from Roberts County, South Dakota that a birth certificate be issued to her. A blank form was sent to her and she was able to have her mother sign as the informant who swore the information to be true and correct. The form was likely typed and completed by the notary public, Ole J. Hillesland who signed the document and also lived in Douglas, North Dakota. It was then returned to the office in Sisseton, South Dakota where the Registrar of Deeds office filed the document and sent to Olena her copy that we are reviewing here. It is thought that the form was from Sisseton as the registrar's name, John A. Koeppe is from that area as he was found later working in the office of the court of Roberts County, South Dakota.
Yes, her birthdate is wrong here too. So we know that the mistake started here and not on the previous certificate. This document also places her mother's residence in the Douglas, North Dakota area.
Another error to notice is that her name is spelled in two different ways, both appear on this last certificate. Full Name at Birth states her name as Oline Marie Haner. Then under the signature of person who is swearing the information is true is Mrs. W.W. Haner, the "Mother of Olina Marie." A slight variation to the spelling. Then again, as an adult, she would spell her first name OLENA and that is how I knew her name to be.
Unlike Henry Johnson's certificate that we reviewed last week, this last document does state it is a "Delayed" Certificate of Birth. It appears that there is a variety in the forms and formats used to provide birth information.

Transcribing helps me to learn what a document contains. I have learned over time that I have a tendency to "skim" over an item; a bad trait for a researcher who needs to learn even the smallest details documented records contain. Transcribing helps me to slow down and "smell the roses," and to capture all aspects of the paper in hand. It also gives me a better opportunity to share the document with you.
